Why Should You Be An Exhibitor?

Conference exhibiting or sponsorship are ways to showcase your organization’s technologies, products and services to substance abuse professionals, managers, staff and decision-makers.  Exhibiting and sponsorship creates exposure for your organization, provides an opportunity to broaden your contact with substance abuse professionals, allows you to discuss your message and services face-to-face with these professionals and assists you in increasing your awareness of new trends and pressing concerns in the Illinois addictions field.

 

Expected Attendance- 250-300

 

Deadlines & Registration

Exhibitor registrations must be received no later than August 15, 2006.  Exhibitors wanting to take advantage of having their information advertised on the IADDA website prior to the conference should submit their registration no later than August 4, 2006.

Cost

The exhibit fee for IADDA members is $500, and for nonmembers, it’s $800.  The following are included in this cost:

1 draped 6’ table, 1 chair, one (1) complimentary full conference registration for the booth representative (includes meals, breaks, workshop attendance and participation in the Awards Reception), an electrical outlet (if needed), inclusion in conference brochure and advertising on the IADDA web page (if registration deadlines are met).

 

The exhibitor fee does not include conference participation for additional people to staff exhibit.  Additional exhibitors who want to attend workshops or participate in the meals and Awards Reception must either register for the full conference, individual conference days, or purchase individual meal tickets.  See the Conference Brochure section on the Registration Information page for more details.

 

Meal Tickets

Individual meal tickets may be purchased for additional exhibitors or guests.  Please contact IADDA at 217.528.7335 ext. 10 for costs and to purchase additional meal tickets.

 

Cancellations

Exhibit cancellation requests must be received at the IADDA office in writing on or before September 8, 2006.  No refunds will be issued for cancellations received after this date.  There will be a $100 processing fee charged for all cancellations, regardless of the reason.  Exhibit/sponsor fees are non-transferable.  Please allow up to four weeks for your refund to be processed.  Cancellation requests may be faxed to IADDA at 217.528.7340.

 

Shipping Materials

If you need to ship materials to the conference, please contact Pel Thomas at IADDA for shipping instructions.  Shipments not pre-paid by sender will not be signed for by Wyndham Drake Hotel staff.  Exhibitors are also responsible for payment and arrangements for return shipping.

 

Exhibit Setup/Dismantling

Exhibit setup begins at 6:30 a.m. on Monday, September 18.  Conference registration begins at 7:00 a.m. and the Welcome begins at 8:30.  Exhibit dismantling is at 2:00 p.m. on Wednesday, September 20.

 

Exhibit Hours

Exhibits are open for viewing during all conference activities and there are breaks designated twice each day for attendees to visit the exhibit hall.  Exhibit hours are from 7:00 a.m. – 5:00 p.m. on Monday and Tuesday, September 18-19 and from 7:00 a.m. – 2:00 p.m. on Wednesday, September 20.  Exhibitors are asked not to arrive late or leave early and should plan to have their exhibit on display throughout the entire conference.

 

General Exhibitor Information

     Exhibits will be located in the recently renovated Three Oaks Room just beyond the conference registration area.  All conference breaks are scheduled to take place in the Three Oaks Room, making it a focal point of activity at the conference.

    Exhibit space will be reserved on a first-come, first-served, space available basis.  IADDA reserves the right to determine the appropriateness of any company, printed material or product to exhibit at the conference and further reserves the right to reject or cancel any application and/or limit space assigned to any one organization.

     IADDA makes no representation concerning any exhibitor, nor its products or services, and the admission to the conference of any exhibitor constitutes neither an endorsement, recommendation, nor a representation by IADDA of any exhibitor, or its products or services.

      IADDA and the Wyndham Drake are not responsible for lost or missing items, for the safety of the exhibit from theft, damage by fire, accident, vandalism or other causes, so please do not leave items of value at your booth during the day or overnight.

    Exhibitors are expected to make their own accommodation arrangements.  See the Hotel Information section on the General Information page for more details.

      Exhibitors are responsible for packing up their exhibit materials after the conference.  Items left on-site will be discarded by the hotel.

      By submitting an Exhibitor Application Form, exhibitors understand that they are responsible for payment of the exhibit fee. Exhibitors further acknowledge and agree to abide by the provisions of the General Guidelines and Liability Release and all policies of the IADDA Annual Conference.

 

Liability Release

Exhibitors agree to, at all times, protect, save, hold forever harmless, and fully indemnify IADDA, its Board, employees and members, and the Wyndham Drake Hotel, its owners and employees, from and against any and all claims, actions, losses, damages, costs (including reasonable attorney’s fees), liability charges or expenses arising out of or in conjunction with (1) person(s) including the exhibitor, its agents, employees, and invitees which arises out of the negligence of the exhibitor or is in conjunction with the exhibitor’s  occupancy and use of the exhibition premises or any part thereof, and, further (2) any alleged violations of any law or ordinance occasioned by the intentional or negligent actions of the exhibitor, its agents, employees, and invitees, , and (3) any accident or bodily injury or other occurrence to any person or persons including the exhibitor, its agents, employees, and invitees which arises from or out of or by reason of the exhibitor’s occupancy and use of all or part of the exhibition and conference premises.  IADDA and the Wyndham Drake Hotel expressly disclaim any possible liability for the safety of the exhibitor’s property or exhibit against robbery, fire, water, accidents of any sort, or injury or damage from any other cause.  The Exhibitor understands that neither IADDA or the Wyndham Drake Hotel maintains insurance covering the exhibitor’s property, and it is the sole responsibility of the exhibitor to have such coverage.  Should any loss by theft occur, the exhibitor agrees to report it to the person on duty.
